Position:     Administrative Support Worker

Location:    Belleville

Status:         Temporary Full-Time 6 Month Contract - 35 hours/week (flexible hours required), Monday to Friday

Salary:         $46,293.09 to $52,581.10 annually, and premium payment of fourteen percent (14%) for all hours worked paid in lieu of benefits


Description

Children’s Mental Health Services (CMHS) is a publicly funded charitable organization in the City of Belleville, serving Hastings and Prince Edward counties, which provides a spectrum of innovative and evidence-based, mental health services.  We provide Live-In and community-based services including in–home programs to children, youth, and families within the community.  


CMHS is seeking a qualified individual to join our Admin team at our Belleville office.  This is a temporary full-time contract and is part of a bargaining unit.  The hours of this position will vary based on activities within the agency and could be between 8:30am and 7:00pm. 


Position Summary

Reporting to the designated manager, the Administrative Support Worker is part of the administrative support team to child and family services provided by the agency. They can be the first point of contact for persons wanting to make referrals or service enquiry and they deliver a wide variety of administrative support services to various programs offered by the agency.


Main Duties and Responsibilities

  • Represents the initial contact for individuals requesting the agency’s services by answering and sorting calls, responding to public enquiries and requests for service and by being responsible of the reception area and client greeting.

  • Ensures opening and closing of office (unlocking/locking building and key entry doors and elevator).

  • Collects contact information from clients, caregivers, and community partner enquiries for service.

  • Prepares various letters and other documents as requested. Responsible for file management, including recording client files for destruction. Supports the Privacy Officer with Record Requests and Requests for Information.

  • Inputs information into the Client Information System to record client contacts and open files; and schedules appointments into worker calendars and the Client Information System.

  • Provides assistance to staff around administrative duties – providing reminder communications to clients for their appointments, cancellations of appointments, re-scheduling appointments, assisting staff with general office tasks (printer upkeep), and providing office supplies.

  • Schedules appointments in the Rapid Response/CFTs calendars for clients on the waitlist who require services. Notifies the clinician of the appointment.

  • May be required to prepare groups, training packages, and collect data to assist Management in program development.

  • Assumes all responsibilities of the Reception/Front Desk

  • Reviews potential crisis referrals with Manager.


Experience/Skills and other Requirements

  • General Office Administration College Program or Ontario Secondary School Diploma with four years of experience working in an organization that provides confidential services to the public.

  • Strong written and verbal communication skills.

  • Proficient with the use of computers, programs and software. Fully functional with emails as well as Microsoft Word and Excel.

  • Strong organizational skills and capacity to meet deadlines.

  • Exceptional interpersonal skills.

  • Experience in dealing with the public in similar professional setting.

  • Ability to work independently and as a team member to achieve service goals.

  • Must be available to work flexible hours when required to align with client needs.
