ADMINISTRATIVE SUPPORT WORKER (7 MONTH CONTRACT)

Position:     Administrative Support Worker

Location:    Belleville

Status:         Temporary Full-Time 7 Month Contract - 35 hours/week (flexible hours required), Monday to Friday

Salary:         $44,495.47 to $50,539.31 annually, and premium payment of fourteen percent (14%) for all hours worked paid in lieu of benefits


Description

Children’s Mental Health Services (CMHS) is a publicly funded charitable organization in the City of Belleville, serving Hastings and Prince Edward counties, which provides a spectrum of innovative and evidence-based, mental health services.  We provide Live-In and community-based services including in–home programs to children, youth, and families within the community.  


CMHS is seeking a qualified individual to join our Intake team at our Belleville office.  This is a temporary full-time contract and is part of a bargaining unit.  The hours of this position will vary based on activities within the agency. 


Position Summary

The Administrative Support Worker is part of the administrative support team to child and family services provided by the agency. They are the initial point of contact for persons wanting to make referrals or service enquiry and they deliver a wide variety of administrative support services to various programs offered by the agency.  This includes explaining services to clients, determining eligibility and gathering pertinent information.


Main Duties and Responsibilities

  • Represents the initial contact for individuals requesting the agency’s services by answering and sorting calls, confirming appointments, responding to public enquiries and requests for service and by being responsible of the reception area and client greeting.

  • Prepares various letters and other documents as requested. Responsible for file management, including recording client files for destruction.

  • Collects information from potential clients to determine if they qualify for the agency’s services. Obtains custody information from clients and ensures it is reviewed by the Community Services Manager.

  • Provides assistance to staff around administrative duties such as cancellations and/or rescheduling of appointments, assisting staff with general office tasks, providing office supplies, troubleshooting IT/Computer equipment, and making changes in the client database.

  • Schedules appointments in the Child & Family Therapist’s calendars for clients on the waitlist who require services and provides overview of concerns with the Therapist. 

  • May be required to prepare groups, training packages, and collect data to assist Management in program development.

  • Ensures opening and closing of office (unlocking/locking building and key entry doors and elevator).

  • Provides back up to the Intake Administrative Worker when needed by assisting clients, gathering referral and demographic information and inputting information into the Client Information System, scheduling appointments for Intake Workers and rapid response services and by ensuring referral information is provided.


Experience/Skills and other Requirements

  • General Office Administration College Program or Ontario Secondary School Diploma with four years of administrative experience working in an organization that provides confidential services to the public.

  • Strong written and verbal communication skills.

  • Proficient with the use of computers, programs and software. Fully functional with emails as well as Microsoft Word and Excel.

  • Strong organizational skills and capacity to meet deadlines.

  • Exceptional interpersonal skills.

  • Experience in dealing with the public in similar professional setting.

  • Ability to work independently and as a team member to achieve service goals.

  • Must be available to work flexible hours when required to align with client needs.
